This quote is the Phase 1 build only. Items 1–4 are ticked as the MVP: publish approved SOPs, staff ask, answers show a source, then we design and hand over. Tick 5–7 only if you need them. If every item is ticked, Phase 1 is RM 100,000.

1. What you are buying

Sorted so you can ship an MVP first. Internal AI Chatbot and SOP Knowledge Base must be taken together — published SOP text is guarded; staff only get it by asking the chatbot, which does not guess.

MVP workflow: publish SOP → staff ask → cited answer. The AI only uses approved information. If it cannot find an answer, it tells staff to confirm with management. Documents & OCR is not required for MVP — admin can type or paste SOP text.

Currency for this whole quote, including the vendor bills below, is Malaysian Ringgit (RM). Vendor list prices are in USD; figures below are shown in RM at about USD 1 = RM 4.20, for discussion only.

Monthly / yearly vendor bills below — you pay those vendors directly. Not a locked ops contract.

Development and the first ~2 months live should be low use, so database and login stay on Supabase Free. Move to Pro when the live team depends on it, data goes past 500 MB, or you need daily backups and no pause.

You hold the vendor accounts and spend caps. We help set them up at handover. Keep some staff activity each week so Supabase Free does not pause. Vercel Hobby is for development only, not a commercial custom domain.

4. Payment

RM 54,000 is billed in three payments (30% / 40% / 30% of the selected total). Vendor operating cost is paid separately.

5. How we would host it

Recommendation only — we can change this at kick-off. Suggested: one Next.js web app on Vercel, Supabase for database and staff login, Google Cloud Storage for files, Google Gemini for answers and document search. OCR billing applies only if Documents & OCR is ticked. Domain is paid yearly to the registrar and pointed at Vercel.

We compared Google Cloud SQL. It has no always-free plan (only a 30-day test instance). We stay with Supabase so early use can be Free and login is included. A Cloudflare-only static site does not replace the backend; we can discuss it if you prefer Cloudflare.

6. What you need to provide

First properties to go live, with assigned staff and roles.
Sample SOP text or searchable PDFs (scans only if Documents & OCR is ticked) and, if needed, vendor contacts.
Who can upload, who can publish, who can only ask.
Vendor accounts we help set up: Vercel, Supabase, Google Cloud, domain.
